How to create a marketing calendar in six steps

  1. 1

    Start with the dates that already have attention

    Pull the tentpoles first: the gifting peaks, retail weekends and awareness days your audience already cares about. They are marked in the template. Everything else is optional.

    Pick two or three dates a month

    A marketing calendar with forty dates a month is a list, not a plan. Choose the few you will do properly and delete the rest from your copy.

    Decide the channel before the idea

    Use the channel column. A date that suits email (a sale weekend) is a different job from one that suits PR (a report on Earth Day) or internal comms (Mental Health Awareness Week).

    Work backwards to a brief-by date

    Tentpoles need creative briefed eight to twelve weeks out; social moments need two to four. Put the brief-by date in the planner, not just the live date.

    Assign an owner and a status

    The Campaign Planner tab has owner and status columns with a dropdown (Idea, Briefed, In progress, Scheduled, Live, Done). A calendar nobody owns stays an idea.

    Review monthly and keep it rolling

    Add next month's dates at the start of each month from the live marketing calendar, which always shows the next twelve months, and retire anything you did not use.

A marketing calendar template is a ready-made spreadsheet or calendar file for planning campaigns and content around dates. Ours is different from a blank grid: it arrives with the 83 key marketing dates for UK and US teams already filled in, each with a one-line reason it matters, plus an empty planner for your own campaigns.

Does the template work in Google Sheets?+

Yes. There is a Google Sheets version you copy to your own Drive, and the Excel file also opens in Google Sheets and Numbers. The CSV imports into Notion, Airtable, Asana and most scheduling tools.

Is the marketing calendar template really free?+

How many dates are in the template?+

How do I add the dates to Google Calendar or Outlook?+

Download the iCal file and import it: in Google Calendar use Settings, Import and export; in Outlook use File, Open and Export, Import; on a Mac open the file and choose a calendar. For a feed that updates itself, the Marketing Calendar Toolkit includes a live iCal subscription.

Is there a 2027 marketing calendar template?+

The template always covers the next twelve months, so 2027 dates are included as soon as they are confirmed, and from October a full 2027 edition of every file is published here. The URL stays the same.
